Vendor Management: What Happens When You Terminate a Vendor?
We’re committed to making vendor management simple and efficient. When it’s time to remove a vendor from your data population, we refer to this process as “terminating” a vendor. Here’s how it works:
What Happens After Termination?
When a vendor is terminated, their record is“hidden” from your active vendor population and will no longer be monitored. However, terminated vendor data is not permanently deleted from our system, so if you ever need access to monitoring history, we can retrieve that for you.
Exciting Update: A New Approach to Termination Requests
With the transition to a single subscription-based model, we’ve simplified the process for terminating vendors. Previously, terminations were tied to the end of a vendor’s subscription period. Now, terminations are processed based on the end date you specify - making it quicker and more efficient to manage your vendor relationships.
How To Submit a Termination Request:
There are two ways to submit a termination request:
- Monthly File: Most termination requests are processed through your regular monthly file uploads, with the end date determined by your business rules identified during your implementation. If you need assistance or clarification on your business rules, please reach out to our support team.
- For immediate, one-time requests for a vendor please contact our support team at support@vendorproof.com or 844-873-7877. Please include the vendor’s business name and vendor number for a faster resolution.
Example Scenario:
Before: If you requested to terminate Vendor A on October 1st, 2024, we would wait until their subscription ended before processing the termination.
Now: WIth our updated process, if you request to terminate Vendor A on October 1st, 2024, the termination will occur on that date, regardless of their subscription status.
